The Entry-Level Administrative Assistant is responsible for providing general administrative support to the entire Breakthrough In Home Service office as well as other vendors, and clients.

 

The Entry-Level Administrative Assistant must be adept at producing high-quality documents (Word, Excel) and presentations (PowerPoint) under tight deadlines, therefore knowledge of Word, Excel, PowerPoint, and Outlook is essential. Multitasking and prioritizing workflow are essential to success in this role. The Entry-Level Administrative Assistant should be able to communicate in an articulate manner (written, verbal), and be accustomed to working in a fast-paced environment at times. Additional responsibilities include, but are not limited to:

 

     · Serving as the primary receptionist (answering and directing incoming calls and greeting, directing, and assisting visitors);

     · Maintaining contacts and calendars

     · Making photocopies, sending faxes, shredding documents;

     · Planning and scheduling meetings and appointments;

     · Organizing and maintain paper and electronic files;

     · Maintaining general office tidiness;

     · Performs a variety of Internet research functions and data entry;

     · Training and supervising other support staff;

     · Process quarterly service report and vendors list;

     · Performs monthly monitoring (supervising attendants and clients);

     · Troubleshooting minor technical problems, calling for repairs, and monitoring equipment operations;

     · Maintaining Supplies and equipment’s;

     · Picking-up and delivering items;

     · Update Policies and Procedures, verify timesheets/telephony system, and check eligibility

 

MINIMUM REQUIREMENTS:

The successful candidate will be self-motivated, detail-oriented, energetic, and highly organized.

Must be a team player and have outstanding writing, editing, data entry, and proofreading skills. Excellent communications and interpersonal skills, and the ability to prioritize and handle multiple projects are essential. Must be proficient in Microsoft Office. College degree preferred. Two years of experience providing customer service and/or clerical work/office administration.

Preferred:

     · At least one year experience in reception and/or data entry;

     · QuickBooks experience a plus;

     · Knowledge of FCSR (Family Care Safety Registry), MO Healthnet,

         Shepherd Connect, EDL, and E-Verify;

     · Prefer candidate with knowledge in the Health/Medical industry
